Job Control & Scheduling
Job Control is the hub of the OnSite Companion project workflow management solution. When an enquiry or a lead transitions through to the go ahead for a project to be undertaken, a job is created.
Details for jobs are fully customisable so information important to your company is always captured in a standardised format across all jobs. Contact/Client information, what trades and suppliers being used for the job and importantly, documents associated with the job are accessible, searchable and able to have reports generated from the one location.
Defects & Variations Control
Defect control allows you to view all or filtered results for jobs that have pending defects logged against them. Selecting what activity type the defect relates to will automatically attach the appropriate Service Provider against the defect. Defects can also be tagged as pre- or post-handover in order to suppress the client’s details when sending the defect work release to the service provider.
Contact Control
OnSite Companion has been designed to manage all aspects of a project from sales to warranty. Contact Control provides an easy to use repository for managing enquiries and then transitioning them into the Job Control section.
Contact Control is divided into two components – Clients and People.
Clients are the legal entity with whom a project contract can be established. People are individuals with whom communications and interactions occur and represent Clients. Both Clients and People can have data recorded against them as they transition from enquiry to project contract e.g. a Client may have an ABN recorded, People may have birthday recorded.
Service Provider Control
The Service Provider section manages all details, communications, documentation and compliance of a trade contractor, supplier or third party.
Using the reporting function, administration staff can quickly identify which trade contractor requires updating of their Workplace Health and Safety information at a pre-determined period prior to expiration. Bulk e-mail communication of the details to be updated across all trade contractors at any given time can be generated and sent with only specific information pertaining to the individual trade contractor being included in the email. A record of the communications is automatically attached to the Service Providers profile card.
To Do Lists
The ToDo list section is where the major time saving and productivity enhancements are generated in the system. Current activities for each user can be viewed and managed from one list.
Messages, notes and alerts can be associated with activities enhancing understanding and interpretation of the outcome required. Ad hoc tasks can be generated and assigned to the appropriate user to attend to.
Activity Search
Finding current and historical information is a critical need for businesses that follow processes. The ability to analyse what works well and not so well and to tweak those processes accordingly to improve performance, saving time and reducing costs relies on searchable activities. OnSite Companion has integrated a powerful yet simple to use search engine that can be utilised across all or selected jobs with many combinations of filters.
Commonly used searches for users or the business as a whole, once created can be saved for quick future use. Search results data can be exported for further analysis or reporting purposes.
Message Search
Similar to the Activity Search feature, Message Search allows searching from only the simplest word to a sophisticated multiple level filtering mode to make it infinitely faster and more organised than standard search capabilities found in programs such as Outlook or PDFs.
Primary categories of search parameters include Service Providers Work Releases, Client Portal information, standard messages, notes and alerts.
ALERT CONTROL
Alerts can be associated with Jobs, Clients, Contacts or Activities and are designed to allow a member of the project team to “alert” another member of information pertaining and influencing these. Job Alerts are general alerts pertaining to a job as a whole. Activity Alerts are specific alerts referencing an activity within a job.
Client and Contact alerts refer to the individual or the entity they belong to. The system can be configured to check for alerts within desired time intervals and then will display on a user’s screen automatically without the need for manual checking for alerts.
JOB ANALYSIS
The Job Analysis screen gives any user the ability to see an exact position of a job at any point in time with specific reference as to the progress of the job against the timeline determined for the job. The displayed details include all started and completed activities identifying the dates, successors and/or predecessors, the type of activity and the workflow it related to.
Extra tabs provide all visual representation of the job through Gantt chart, Critical path graph and Milestone chart.

STANDARD REPORTING
The Whiteboard when first opened, provides a high-level overview of how all jobs are running at a single glance. It shows all the primary details in the grid with many aspects colour coded to highlight without filtering. Traffic lights on Baseline-on-Time and Contract-on-Time columns immediately identify performance of an individual job.
The Last & Next Milestone and Job Status also gives you a quick glance interpretation of where jobs on an individual basis are up to.
